Caritas Netzwerk-IT Introduces NemoVote for Online General Meeting

About Caritas Netzwerk-IT e.V.: NGO Supporting IT Challenges in Social Services

The Caritas Netzwerk-IT e.V. unites around 150 Caritas organizations from across Germany to address the growing IT infrastructure and IT strategy challenges in social services sector. The association’s goal is to pool the needs and expertise of its member organizations, facilitating collaboration on IT matters.

Due to the long distances traveled by members, Caritas Netzwerk-IT e.V. decided to hold its 2024 general meeting entirely online. This decision not only saved valuable time for members but also lead to a greatly simplified organization process. NemoVote provided the necessary solution for electronic voting, ensuring secure and efficient elections in compliance with the organization’s requirements.

Challenge: Anonymous and Weighted Voting Solutions with NemoVote

A unique challenge was the need for an anonymous and weighted voting system, similar to the qualified majority voting system of the European Council. Each member organization has one vote, along with additional votes based on the number of employees. A decision requires the majority in both categories. This specific voting structure posed a technical challenge, which NemoVote successfully implemented.

Tailored Support for Weighted Online Voting

In an initial video call, we outlined our requirements. The feedback that the adjustment was possible arrived on the same day, and just two weeks later, the feature was live for all NemoVote users, not just us.

Why Caritas Netzwerk-IT chose NemoVote for Digital Voting

Caritas Netzwerk-IT e.V. chose NemoVote after conducting a market analysis based on the following criteria:

  • Data Privacy: Due to the importance of data privacy, a provider with EU-based hosting and GDPR-compliant solutions was essential.
  • Extensive Knowledge Base: Thanks to the comprehensive knowledge base, Caritas Netzwerk-IT e.V. was able to explore and use the platform independently, minimising internal documentation efforts.

Positive Experiences and Minor Challenges with Online Elections

The preparation process went smoothly, thanks to NemoVote’s knowledge base, and the platform received positive feedback for its ease of use. While the board was satisfied, last-minute member accesses caused some stress, as Caritas Netzwerk-IT e.V.’s small team had to manage new access requests during the event. To avoid such challenges in the future, the organization plans to use NemoVote’s technical live support at the next event.

Tips for Organizations on Optimizing Digital Voting Solutions

  1. Consider Technical Support: Depending on the event size and team capacity, technical support can significantly reduce stress.

  2. Effective Communication: Ensure participants receive clear instructions regarding login details, as they are often overlooked or end up in spam folders. Voters should be reminded several times about the tool and the access email to avoid access issues on the day of the event.

Satisfaction with NemoVote and Looking Ahead to Future Features

Caritas Netzwerk-IT e.V. is highly satisfied with NemoVote’s adaptability, especially with its responsiveness to our specific needs and quick implementation. For the future, the organization hopes for even more user-friendly features, such as visualizing results for easy sharing with members.
